Who is responsible for your information

Care by Cara is responsible for the personal information collected through this website and decides how it is used. You can contact Care by Cara about anything in this notice using the enquiry form.

What is collected

If you send an enquiry through this website, Care by Cara collects the details you choose to give: your name, phone number, email address, who you are enquiring for, your area or postcode, the kind of support you are looking for, your preferred days and times and your preferred contact method.

Please do not send medical details

The general enquiry form is not intended for detailed health or medical information. Sensitive information is only collected securely and with consent if an initial assessment is arranged.

Why it is used and the lawful basis

Your information is used only to respond to your enquiry, arrange a no-obligation conversation and, if appropriate, discuss whether the service is a good fit. The lawful basis for this is legitimate interests: replying to someone who has asked to be contacted about the service. Where you tick the box confirming you have read this notice, that is an acknowledgement rather than marketing consent. You are not added to any marketing list because you sent an enquiry.

How your information is stored

When you submit the form, your enquiry is sent by email to the Care by Cara enquiry inbox and a copy is saved in a secure, access-controlled database so the enquiry is not lost. Both are protected by encrypted connections and restricted access.

Service providers used

A small number of trusted providers process information on behalf of Care by Cara: the website hosting and database platform that runs this site and stores enquiry records, and Google, whose Gmail service delivers the enquiry emails. These providers act on instructions from Care by Cara and are not permitted to use your information for their own purposes.

Sharing

Enquiry information is not sold and is not shared with third parties for marketing. Information is only shared where the law requires it.

How long it is kept

Information submitted through the general website enquiry form will normally be retained for up to 12 months where the enquiry does not become an ongoing client relationship, after which it will be securely deleted unless there is a legitimate reason or legal requirement to retain it for longer.

If somebody becomes a client, their records may be subject to a separate retention period appropriate to the services provided and applicable legal requirements.

Your rights

You have the right to ask what information is held about you, to ask for it to be corrected, to ask for it to be deleted, to object to or restrict how it is used, and to ask for a copy in a portable format. You can also withdraw agreement to be contacted at any time.

How to make a request

To ask about your information, or to request that it is corrected or deleted, please use the enquiry form and say what you would like. Requests are answered within one month.

Complaints

If you are unhappy with how your information has been handled, please get in touch so it can be put right. You also have the right to complain to the Information Commissioner's Office, the UK data-protection regulator, at ico.org.uk.
